Job Description

Summary

Baylor College of Medicine is seeking a Lead Coordinator, Program Management Position who will partner with Texas Children's Hospital (TCH) Medical Staff Services/Graduate Medical Education (GME) and Undergraduate Medical Education (UME) and Baylor College of Medicine GME office to ensure all trainees reporting through Texas Children facilities are supported and successful with their training experience. The Lead Coordinator will work directly with program coordinators, program directors, physician leadership, departmental leadership and Graduate Medical Education Committee for trainee needs. He/she will also be directly responsible for maintaining Clinical Learning Education Review (CLER) readiness for TCH.

Job Duties

Generic Duties

  • Ensures invoices are paid timely and manages customer service specific to education affiliates.
  • Monitors financial activity by compiling, reviewing, and reconciling financial accounts.
  • Orders materials, supplies, or equipment.
  • Coordinates department meetings, events, retreats, and other functions.
  • Provides additional support to department leadership as needed.
  • Manages clerical or administrative activities.

Specific Position Duties

  • Process trainee related functions in Echo Credentialing Software.
  • Assists with processing trainee rotation.
  • Ensure regulatory readiness for Clinical Learning Environment Review (CLER).
  • Partner with Quality Department to ensure training program is included in the various quality and safety programs.
  • Focuses on GME trainings/on-boarding.
  • Attends orientations with checklist on assess accuracy of standards being met.
  • Operates as a resource and point person for all coordinators (across varying TCH Operating Unit functions).
  • Attends leadership meetings to maintain coordinator team is included in changes.
  • Meets with other coordinators to share updates and discuss new processes.
  • Reviews or delegates work to other coordinators.
  • Consults for UME expansion and support with this role.
  • Implements workflows and tools to manage records of trainees who transition to faculty.
  • Performs other duties as assigned.

Minimum Qualifications

  • Bachelor's degree; four years of relevant work experience accepted in lieu of degree.
  • Two years of relevant experience.

Preferred Qualifications

  • Bachelor's or Master's Degree.
  • Graduate Medical Education (GME) or Undergraduate (UME) experience.
  • Program Management experience.
