Job Description
Summary
The Division of Emergency Medicine is seeking a Coordinator, Program Management whose primary focus is to be the point person a key member of the academic team who manages day to day operations of the clerkship, participates in the review/revision of the clerkship and secondarily assists with the electives. The coordinator works directly with the Clerkship director, elective faculty, clinical faculty and students. They must be able to make timely decisions on behalf of the clerkship director. The coordinator should have basic curricular knowledge with understanding of HIPAA and FERPA guidelines.
Job Duties
- Functions as the first-contact liaison to students, faculty, residents, sites, and school administration for any issues or questions relating to the clerkship, electives and VSLO.
- Provides primary support for the clerkship director(s) in matters relating to the clerkship, and function as his/her representative if requested.
- Assists in developing curriculum and teaching materials for EM Clerkship.
- Assists students with credentialing at various Emergency Department sites.
- Manages day-to-day operations of the students and the clerkship office, organize and prioritize necessary tasks, initiate changes and resolve issues as they arise.
- Thoroughly understands the curricular goals, policies, and standards of the clerkship, department, and medical school.
- Participates in the development of clerkship policies and procedures.
- Creates and maintains rotation and clinical site schedules (i.e., didactic schedules, duty hours, mid-rotation feedback, etc.) and be able to resolve scheduling conflicts to ensure that each student’s schedule meets his/her clerkship or elective requirements without violating school policies like the Duty Hours Policy.
- Coordinates clerkship orientation for each rotation.
- Coordinates lectures and lecturers and ensure that educators are assigned to every didactic session.
- Prepares clerkship materials.
- Maintains clerkship materials in a secure electronic database.
- Facilitates student and faculty computer access to, evaluation, badging and advising software system for student rotators.
- Providesassistance to students with questions and concerns related to the clerkships, clinical electives and to clinical site policies and procedures.
- Communicates student absences/late arrivals to clinical teams in the event there is a shift change or new attendings in which students are not aware who to contact.
- Processes and prepares final grades for submission, including MSPE letters.
- Monitorsthe student evaluation process and maintain complete and accurate student files.
- Interacts with other educational departments (i.e., student affairs, medical education, registrar, area health education center, bursar, or purchasing).
- Participatesin institutional, departmental, community, or national meetings as ongoing professional development and to remain informed about current academic trends.
- Collects, review and submit documentation on core components to ensure 100% compliance with LCME standards.
- Attends monthly departmental UME meetings and ad hoc meetings as necessary.
- Updates and maintain Leo and Qualtrics users (add users for students by request)
- Creates and maintains the schedule for the EM Clerkship, the EM student electives and the PA student course.
- Ensures that students have badge access to the student lockers.
- Ensures that students have access to Parking in the E Lot at main Baylor for the evening and overnight shifts.
- Assists the clerkship team with the data needed for mid-clerkship feedback and help with scheduling mid-clerkship feedback.
- Performs other job-related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
• Bachelor's Degree.
• Experience in an academic setting preferred.
• Excellent written and verbal communication skills.
