College/Department Information
The Division of Laboratory Animal Services at Augusta University is a service organization, which facilitates the research and teaching mission of the University by meeting the animal research needs of the research community while concurrently providing for the safe and ethical treatment of research animals. Our emphasis on customer service is demonstrated by providing high quality animal care and research support in a timely manner while being courteous, professional, and responsive to our customers. We maintain a centralized animal care program with administrative management of 6 on-campus and 1 off-campus animal facilities. We report to the Vice President of Research, consult, and collaborate with the Institutional Animal Care and Use Committee. The animal use program is accredited by AAALAC, a Registered Research Facility with the United States Department of Agriculture (USDA No. 57-R-0002) and has an Office of Laboratory Animal Welfare Assurance number.
Job Summary
Perform clerical and administrative duties mainly within the main office of Lab Animal Services, but also extending into the Animal Husbandry section of LAS. Responsibilities include maintaining a high level of customer service with the staff, vendors, and different departments on campus.
Responsibilities
The duties include, but are not limited to:
Act as one of two purchasing agents for departmental supply purchases. Request quotes and submit justifications for purchases as required prior to entering requisitions into PeopleSoft Financials. Process P-Card purchases for smaller, exempt supplies and reconcile transactions in the Works program. Must ensure strict adherence to state and institutional P-Card policies and deadlines.
Assist departmental staff with travel planning and documentation requirements to include setting up flights and car rentals, travel authorizations, and travel expense statements.
Maintain accurate yearly and quarterly inventory counts. Inventory processes include Chemicals and physical inventory.
Process DLAS supply and service requests from research staff; Review Animal Use Protocols for request approval and recover cost through eSirius service request entries.
Assist with Import/Export administrative processes as needed; Enter service requests to generate billing to external institutions utilizing the eSirius program. Follow up as needed for collections.
Includes coordinating new hire final interviews; answering incoming telephone calls and assisting visitors to the front office; submitting Service Approval Forms for new hires.
Perform other related duties as needed.
Required Qualifications
High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization with a minimum of three years of progressively responsible office support experience.
OR
Associate degree from an accredited college or university in a related field may be substituted for experience.
Preferred Qualifications
A degree, certification, training or experience in the field of Laboratory Animal Science or animal related field.
OR
Associate degree, certification, training or experience in Business Administration is desired.
Knowledge, Skills, & Abilities
Proficient in Microsoft Office and other computer software/databases.
SKILLS
Excellent interpersonal, written, and verbal communication skills. Detail-oriented with strong organizational, prioritization and multi-tasking skills.
ABILITIES
Ability to maintain confidentiality.
Shift/Salary/Benefits
Shift: Days; Monday - Friday
Salary Range: $16.54-$18.90 hourly.
Pay Band: B3
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
