Performs advanced, diversified, confidential and highly responsible professional secretarial and administrative services in support of executive leadership. This role requires sound judgment, initiative, and discretion in handling complex assignments, enabling the executive to effectively lead key organizational priorities. The Executive Assistant exercises independent judgment, supports decision-making, and acts on behalf of leadership based on deep knowledge of organizational policies, practices, and operations.

As a successful candidate, you will:

  • Provide high-level administrative support, handling sensitive and confidential information with discretion
  • Serve as a liaison between executive leadership, internal stakeholders, and external partners
  • Manage complex calendars, appointments, meetings, and travel arrangements
  • Screen and prioritize communications, including calls, emails, and meeting requests
  • Prepare meeting agendas, minutes, presentations, and executive-level correspondence
  • Conduct research and compile data to support reports and strategic initiatives
  • Coordinate and support special projects across multiple leaders and departments
  • Anticipate executive needs, ensuring seamless day-to-day operations
  • Resolve both routine and complex administrative issues with professionalism and efficiency

Your qualifications should include:

  • High School Diploma/GED with 7+ years of executive administrative experience OR post-secondary education with 5+ years of relevant experience
  • Demonstrated experience supporting senior executives (VP level and above strongly preferred)
  • Advanced proficiency in Microsoft Office (Word, PowerPoint, Windows-based systems)
  • Exceptional organizational, communication, and time-management skills
  • Ability to handle multiple priorities and work in a fast-paced environment
  • High level of professionalism, discretion, and confidentiality
  • Strong interpersonal skills with a customer-service mindset
  • Ability to work collaboratively and independently with minimal supervision
  • Preferred: Bachelor’s degree

Salary / Pay Rate Information:
Pay Rate: $30.67 - $47.54 / hour

The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
