Salary Range
$80,000.00 depending on qualifications
Essential Functions
The Deputy Slate Captain & Assistant Director of Enrollment Management Systems supports the University's enrollment goals by serving as an advanced technical-functional deputy and secondary functional administrator for Technolutions Slate CRM and related Enrollment Management systems. Reporting to the Director of Enrollment Management Systems and Slate Captain, the position provides day-to-day system administration, configuration, integrations, data integrity, reporting, access administration, documentation, training, user support, assigned project coordination, and routine deputy coverage within delegated authority.
Deputy Slate Administration and Technical Support
1. Serve as Deputy Slate Captain and secondary functional administrator for Technolutions Slate CRM, providing day-to-day administration and routine operational coverage for the Director within delegated authority.
2. Maintain comprehensive knowledge of Slate structures, tables, forms, rules, communications, portals, applications, data integrity, security, user profiles, and data flow across processes and units.
3. Configure, test, maintain, and troubleshoot Slate forms, portals, applications, rules, communications, queries, reports, and workflows that support recruitment, admissions, yield, and enrollment operations.
4. Write and test SQL-supported processes; analyze technical and functional issues; respond to ad hoc information requests; and develop written procedures for system processes.
5. Serve as an advanced technical resource for SQL-supported Slate design and related workflows, escalating material architecture or risk decisions to the Director and appropriate University offices.
Enrollment Systems Configuration, Integration, and Operations
6. Create, test, maintain, and troubleshoot data imports, exports, integrations, vendor files, and data mappings involving Common Application, ApplyTexas, Encoura, College Board, EAB, school-district and transfer partners, and other approved sources.
7. Build and maintain Slate-hosted applications, forms, portals, and related tools to support data import, mapping, review, communication, reporting, and enrollment operations.
8. Oversee and document assigned operational processes involving Slate, Banner or PeopleSoft, admissions applications, and related Enrollment Management workflows in collaboration with the appropriate system owners.
9. Coordinate annual and recurring cycle preparation, system testing, configuration review, release readiness, and implementation support for assigned Slate processes.
Data Integrity, Reporting, and Documentation
10. Develop and perform regular data audits, cleanup projects, validation routines, reconciliation processes, and quality-control reviews.
11. Develop reports, dashboards, data summaries, queries, and documentation that support Enrollment Management operations, leadership review, and process improvement.
12. Maintain current procedures, process maps, data dictionaries, testing records, user guides, and system-change documentation.
Slate Governance and Access Administration
13. Administer approved Slate governance processes, maintain governance documentation, conduct access reviews, and recommend updates to support information security, appropriate access, and consistent system practices.
14. Co-manage user accounts, roles, permissions, and access reviews under approved governance and security standards.
15. Escalate material access exceptions, policy questions, security concerns, and final governance decisions to the Director and appropriate institutional authority.
Project Coordination and Cross-Functional Support
16. Lead assigned Slate and Enrollment Management systems projects, technical workstreams, implementation activities, and project timelines within priorities approved by the Director.
17. Gather requirements, coordinate testing, document decisions, monitor milestones, evaluate outcomes, and communicate status, risks, and recommendations.
18. Serve as an assigned technical liaison or project representative with Information Technology, Institutional Effectiveness, Academic Affairs, Finance, the Registrar's Office, and other campus partners for Slate-related work.
19. Coordinate approved vendor and service-provider work and route contract, procurement, budget, and scope-approval matters through established University channels.
Team Support, Training, and Deputy Coverage
20. Supervise assigned direct reports or coordinate designated work only when formal authority is documented, including assigning work, monitoring quality, providing training and guidance, and contributing performance input through established University processes.
21. Develop and deliver user onboarding, role-based training, professional development, procedures, and support resources for Slate users.
22. Provide routine deputy representation and operational continuity during the Director's absence within the limits of delegated authority.

Required Qualifications
2. Three (3) years of experience administering, configuring, supporting, or managing Technolutions Slate CRM or a comparable higher education enrollment CRM.
3. Experience leading projects, coordinating technical work, training users, assigning or quality-reviewing work, or supervising staff.
4. Experience with data integrity, imports and exports, system documentation, reporting, testing, user support, and process improvement.
5. Experience communicating technical information to non-technical users and coordinating work across departments or functional areas.
Preferred Qualifications
2. Experience working in college admissions, enrollment management, student services, or enrollment operations.
3. Experience with HTML, SQL, Slate query tools, portals, forms, rules, communications, or related technical configuration.
4. Experience with PeopleSoft, Banner, or another student information system.
5. Experience developing training materials, system documentation, process maps, testing records, dashboards, reports, or user guides.
6. Experience coordinating vendor files, CRM integrations, application imports, data-sharing processes, or cross-departmental system implementations.
7. Experience supervising staff or providing formal work direction, training, quality review, or performance input.

Schedule
Generally, the normal work hours for the university are Monday through Thursday, 7:30 – 5:30 pm; Friday, 8:00 am – 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.
Standard Working Conditions
1. Able to lift various materials up to 25 pounds on an occasional basis.
2. Able to bend, crouch, and reach continuously.
3. Physically able remain seated, frequently to continuously.
4. Able to remain standing up to 15% of the time.
5. Possesses dexterity abilities required to perform job duties including extensive keyboard work, operating office equipment, performing filing, and other job-related responsibilities that include extensive wrist and hand movement.
